General Terms and Conditions

By validating a registration, you agree to the following general terms and conditions:

ARTICLE 1: REGISTRATIONS

1.1. Registration for activities and camps is done: Online on www.leparascolaireduccle.be

1.2. Registration is only finalized upon receipt of the confirmation email, after payment has been made.

1.3. Uccle's After-School Program reserves the right to change a child to a different group during camps or activities if the child does not meet the required age to participate in the course or is not able to follow the activity.

1.4. Registrations are closed as soon as activities and/or camps are full, or three days before to allow for their administrative setup.

ARTICLE 2:

2.1. Camps and annual activities take place according to the schedules indicated at registration. Parents commit to strictly respecting these schedules for both arrival and departure.

2.1.bis A signed authorization from the parent(s) is essential if the child returns alone or with a third party at the end of the camp or activity.

ARTICLE 3: PAYMENT TERMS

3.1. Different payment methods are available :

- Online ;

- Sodexo "Sport & Culture" vouchers.

How to pay with Sodexo "Sport & Culture" vouchers?
Simply visit our offices from 9:00 AM to 12:30 PM and/or 2:00 PM to 4:00 PM at the following address: rue de Stalle 77 in 1180 Uccle.

3.2. The total amount due is indicated at registration and depends on the activity and/or the
camp chosen.

3.3. Prices include supervision of children, materials, facilities, any transportation according to the activity and/or camp chosen, and insurance.
Damage to medical devices is not covered (hearing aids and orthodontic devices, ...). Damage to glasses is only covered on the condition that they are worn on the way to activities and/or at the time of the accident, and that the victim has sustained bodily injury.

3.4. In case of registration within the five working days preceding the start of the course and/or camp, proof of payment may be requested upon the participant's arrival.

3.5. In case of non-payment, a reminder will be sent by email; in case of continued non-payment, reminder fees will be sent to the parent(s), guardian(s) of the child for non-payment.
These fees will be increased by a flat fee of €15 for administrative costs.

3.6. Uccle's After-School Program reserves the right to no longer accept a child who is not in payment compliance for an ongoing activity that has not been settled within 8 days from the start of the activity, and within 2 days from the start of the camp.

3.7. The participation fees requested should not be a barrier to registering your child in one of our activities or camps.

ARTICLE 4: CANCELLATION(S) OF ANNUAL ACTIVITIES

4.1. If your child no longer wishes to continue the chosen activity, you must notify us before September 30. ***
Outside this deadline, fees will be charged to you.

4.2. The cancellation request must be made by email with read receipt to the address [email protected].
We do not accept cancellations by phone.

4.2. bis. If this cancellation request is made after September 30, there will be no refund.

4.3. If the activity must be cancelled by the After-School Program due to force majeure, no refund will be granted (natural disaster, flooding, pandemic, etc.).

ARTICLE 4BIS: CANCELLATION(S) OF A CAMP

4bis.1. Condition for cancellation without fees.

4bis. 2. If the activity must be cancelled by the After-School Program due to force majeure cancellation, no refund will be granted (natural disaster, flooding, pandemic, etc.).

ARTICLE 5: ABSENCE(S) AND REFUND(S)

5.1. Outside of a cancellation before September 30, no refund is granted for annual activities except upon presentation of a medical certificate.

5.1. bis Camps are refunded on a pro-rata basis for the number of days the child participated, and exclusively upon presentation of a medical certificate.
A full refund could be made upon simple request made at least three working days before the start of the camp in question.

5.2. In case of illness, a medical certificate must reach us within 3 working days by email [email protected].
If the medical certificate has not been sent to us within the specified timeframe, the refund request will not be considered.

5.3. If a child is absent from annual activities for 5 sessions without justification, we reserve the right to cancel their registration without refund in order to give the opportunity to a child on the waiting list to benefit from this place.

5.4. In case of an instructor's absence, the organization of the activity may be entrusted to another instructor or be postponed; Uccle's After-School Program will notify the parent(s), guardian(s) of the child by email.

ARTICLE 6: INSURANCE

6.1. Children are insured by us against liability risks and against bodily accidents that occur within the framework of the activity and/or camp organized by Uccle's After-School Program.

ARTICLE 7: ILLNESS(ES)

7.1. To ensure everyone's health, we do not accept participation of children suffering from an infectious disease (fever, gastroenteritis, diarrhea, chickenpox, scarlet fever, etc.).
We refer to the "Mômes en santé" book from O.N.E.; do not hesitate to consult it on their website if you have any doubts.

7.2. No medication can be given by instructors to a sick child except upon presentation of a medical prescription (prescription) from the doctor specifying the dosage and
the duration of treatment, exempting Uccle's After-School Program from any responsibility inherent to the administration of any medication.

ARTICLE 8: THE RESPONSIBILITY OF INSTRUCTORS

8.1. The instructors supervising children during activities will ensure the promotion of the following values:

- Tolerance ;
- Respect for oneself, others, and difference ;
- Solidarity ;
- Respect for the environment, facilities, and materials made available.

Each instructor will ensure respect for the rights and duties of each person.

ARTICLE 9: RIGHTS AND DUTIES OF CHILDREN

9.1. Children have rights:

- The child must be able to be welcomed in a pleasant and safe environment ;
- The child must be able to freely and appropriately express their opinion on the proposed activities and if necessary these may be modified ;
- The organized activities must attempt to respect as much as possible the physiological rhythms specific to each child.

9.1. Children have duties:
- The child must wear appropriate clothing for the proposed activity ;
- The child must adopt correct behavior towards themselves, towards other children, and towards the instructors ;
- Punctuality from everyone is requested for educational purposes and for the child's well-being. Nevertheless, we ask parents to ensure,
when dropping off their child, that the activity is properly organized and to ensure the presence of the instructor ;
- The child is required to respect the furniture, materials, and facilities made available to them; cleanliness and order must be maintained in the facilities frequented in the various Uccle infrastructures ;
- The child ensures the maintenance of the quality of the environment ;
- The child does not harm their own integrity, the physical or moral integrity of the group and the instructors ;
- The child is solely responsible for their personal belongings ;
- Any disorder or threat to their own safety and/or that of others will be immediately sanctioned by management;
- Any dangerous play, any illicit object (or of a nature to disturb others) are prohibited in activity and course venues;

9.2. The smooth running and success of the proposed activities depend on these few basic rules of conduct.

ARTICLE 10: IMAGE RIGHTS

10.1. As part of courses and/or extracurricular activities, we may take photos and videos of participants whose parents or guardians have granted the
image rights via www.leparascolaireduccle.be. Photos are taken to show parents or guardians the activities the child has completed.

10.2. Photos and videos taken are private; it is strictly forbidden to use them for other purposes (social networks, etc.).

ARTICLE 11: LIABILITY IN CASE OF DAMAGE

11.1. Repair or restoration costs caused by willful damage to equipment or spaces shall be the responsibility of the person responsible for said damage;
the family insurance of this person may be used.

ARTICLE 12: CERTIFICATES

12.1. Since Uccle's Extracurricular Program is approved by the National Office for Children (O.N.E.), our courses and activities are partially reimbursed by your health insurance.

12.2. Tax and health insurance certificates can be downloaded via your child's iClub account.

ARTICLE 13: THEFT AND LOSS

13.1. Uccle's Extracurricular Program disclaims all responsibility in case of theft, loss or damage to personal items during activities and/or courses.

13.2. Lost items are kept for three months. After this period, the item will either be destroyed or given to an association active in the Uccle area.
